We start on the 10th July, 2023
We meet as needed
18th 25th August will be the next event we are working on
Introduction: The Parents Meet Up 4Tea project aims to create a platform where parents can come together to engage in meaningful conversations, share experiences, and acquire valuable skills to enhance their parenting abilities. This event will be conducted in a conversation room setting, providing a comfortable and welcoming environment for parents to connect and learn from each other.
Pre-Event Preparation:
Define the objectives of the event: fostering community, facilitating knowledge exchange, and improving parenting skills.
Form a planning committee consisting of volunteers, educators, and professionals in child development.
Choose a suitable venue and date for the event.
Create a budget plan for the necessary expenses, such as venue rental, refreshments, and resource materials.
Develop a comprehensive timeline to ensure a smooth execution of the event.
Event Execution:
Promote the Parents Meet Up 4Tea event through various channels, including social media, local community boards, and school newsletters.
Send out invitations to parents, encouraging their participation and emphasizing the benefits of attending.
Set up the conversation room with comfortable seating arrangements and a warm ambiance.
Arrange for guest speakers, educators, or child development professionals to deliver informative talks or workshops on relevant parenting topics.
Provide interactive activities and discussion prompts to encourage meaningful conversations among parents.
Serve light refreshments and create opportunities for networking during the tea break.
Offer resource materials, handouts, or take-home activities to reinforce the learning and skills acquired during the event.
Post-Event Evaluation and Follow-Up:
Conduct a survey or feedback session to gather insights from participants, allowing them to express their opinions, suggestions, and areas of improvement.
Evaluate the success of the event based on attendance, participant engagement, and feedback received.
Analyze the impact of the event by assessing the knowledge gained by parents and the subsequent implementation of new skills in their parenting practices.
Share the outcomes and key takeaways from the event with the wider community through newsletters, social media platforms, and local media outlets.
Consider organizing follow-up sessions, workshops, or support groups to maintain the momentum and continuous learning for parents
Budget:
Venue Rental: Allocate a portion of the seed funding to cover the cost of renting a suitable venue for the Parents Meet Up 4Tea event. Consider factors such as capacity, accessibility, amenities, and ambiance when selecting the venue ONLY if outdoor.
Refreshments: Set aside funds to provide light refreshments during the event, such as tea, coffee, snacks, and possibly small pastries or finger foods. Consider the number of participants expected and ensure an adequate quantity of refreshments to accommodate them.
Resource Materials: Allocate a portion of the budget to procure resource materials such as handouts, pamphlets, brochures, or booklets that provide valuable information and tips on parenting and child development. These materials can be distributed to participants during the event and serve as take-home references.
Guest Speaker Fees (if applicable): If you plan to invite guest speakers, allocate a portion of the budget to cover their fees. Consider professionals in child development, educators, or experts in relevant parenting topics who can deliver informative talks or workshops to enhance participants' knowledge and skills.
Promotion and Advertising: Set aside funds to promote the Parents Meet Up 4Tea event through various channels. This may include designing and printing posters or flyers, boosting social media posts, or placing advertisements in local community newsletters or websites.
Miscellaneous Expenses: Keep a portion of the budget for unforeseen or miscellaneous expenses that may arise during the planning and execution of the event. This could include printing costs, stationery supplies, audiovisual equipment rental, or any other incidental expenses.
It's important to note that the specific allocation of the seed funding will depend on the estimated costs for each category, which can vary based on factors such as location, venue prices, the number of participants, and the scope of the event. It is advisable to create a detailed budget plan, researching local prices and obtaining quotes to ensure an accurate allocation of the available funds.
